Privacy Policy

Effective date: October 2, 2026

NATEFIT (“we”, “us”) provides personal training, kinesiology and fitness coaching from our studio at 4114 8 St SE, Calgary, Alberta, and online. This policy explains what personal information we collect, why we collect it, how we use and protect it, and the choices you have.

What we collect

When you contact us or request a consultation

  • Your name, email address, phone number and mailing address.
  • Your age.
  • Health and fitness information you choose to share. This can include current or past injuries, medical conditions, current activity level, fitness goals and what you expect from working with us.
  • Anything else you write in a message.

When you fill in a form inside one of our Facebook or Instagram ads

  • Your name, email address and phone number. Meta pre-fills these from your profile, and you can change them before you send the form.
  • Your answer to our question about what you want help with.
  • Meta sends us these answers. Meta’s own use of the form is covered by its privacy policy.

When you become a client

  • Information needed to design and run your program: assessments, workout history, progress notes, and measurements such as body weight.
  • Body composition scan results, if you book a Styku 3D body scan.
  • Information you log in our coaching app (Trainerize), such as workouts, body stats and messages with your coach.
  • Billing and payment records. Payments are made through the Trainerize app and handled by its payment processor. We see what you paid and when, but we never see or store your full card number.

When you visit natefit.ca

  • Pages you view, how you arrived (for example from a Google search or an ad), and general device and browser information.
  • Whether you sent one of our forms or tapped our phone number.
  • An approximate location based on your IP address (city level, not your exact location).

This is collected through cookies and similar tools described under “Cookies, analytics and advertising” below.

Why we use it

  • To answer your questions and book your consultation or sessions.
  • To design a safe program that suits your injuries, health and goals, and to track your progress.
  • To manage scheduling, billing and our records.
  • To send you information about your sessions and, if you agree, occasional updates about our services. You can unsubscribe at any time.
  • To understand how people use our website and to measure whether our advertising works, so we spend less on ads that don’t help anyone.
  • To keep our website secure and prevent spam.
  • To meet our legal, insurance and professional obligations.

We collect only what we need for these purposes. We do not sell your personal information.

Your health information

Information about your injuries, medical conditions and body measurements is sensitive.

  • We use it only to plan and deliver your training safely.
  • Only your coach, and staff who need it to serve you, can see it.
  • We never use it for advertising.
  • We never put it in ad platforms, analytics tools or audiences.

If your situation needs medical attention, we may suggest you see a physician or other health professional. We will only share your information with them if you ask us to or agree to it.

Consent

By sending us a form, booking a session or becoming a client, you consent to us collecting and using your information as described here.

For health information, we rely on the consent you give when you fill in our consultation form or intake documents. You can withdraw consent at any time by contacting us, subject to legal or contractual limits. If you withdraw it, we may not be able to keep providing some services. For example, we can’t design a safe program without knowing about an injury.

Cookies, analytics and advertising

Our website uses these tools:

  • Google Tag Manager, to load the tools below.
  • Google Analytics, to count visits and see which pages and sources bring people to us. Reports are in aggregate, so they show totals rather than individual people.
  • Meta Pixel (Facebook and Instagram), to measure whether our Facebook and Instagram ads lead to visits and enquiries, and to show our ads to people who have visited our site.

These tools may set cookies and send Google and Meta information such as the pages you viewed and whether you sent a form. They do not receive what you typed into our forms.

Your choice: when you first visit, a notice at the bottom of the page lets you click Opt out.

  • If you opt out, Google Analytics stops using cookies and the Meta Pixel doesn’t load.
  • To change your choice later, clear your browser’s site data for natefit.ca and you’ll see the notice again.

You can also:

  • Block cookies in your browser settings.
  • Use Google’s opt-out browser add-on (tools.google.com/dlpage/gaoptout).
  • Adjust your ad preferences in your Google and Meta accounts.

Some pages show content from other companies, such as YouTube videos, Google Maps, our Google reviews widget, our chat window and Google reCAPTCHA spam protection. Those companies may set their own cookies under their own privacy policies.

Who we share it with

We use trusted service providers to run our business. They process information for us and are not allowed to use it for their own purposes. They include:

  • Website and forms: our web host, WordPress plugins (including Fluent Forms), and Wordfence for security.
  • Email: Google Workspace (Gmail).
  • Scheduling: Simply Schedule Appointments.
  • Coaching app and payments: Trainerize (ABC Trainerize) and the payment processor it uses.
  • Body scans: Styku.
  • Chat: Tidio.
  • Analytics and advertising: Google and Meta, as described above. Meta also hosts the lead forms in our Facebook and Instagram ads.
  • Accounting: our outside accountant, who receives billing and payment records only, never health or training information.

Some of these providers store information outside Alberta or outside Canada, for example in the United States. While it is there, it may be subject to the laws of that country, including access by courts or authorities there.

We may also disclose information when the law requires it, to protect someone’s safety in an emergency, or as part of selling or reorganizing our business. In a sale, the buyer must protect your information under this policy.

How we protect it

  • Access to client information is limited to the people who need it.
  • Accounts are password-protected.
  • Our website uses an encrypted (HTTPS) connection.
  • Paper records, if any, are kept secured at the studio.

No system is perfectly secure. If a breach creates a real risk of significant harm to you, we will notify you and the privacy commissioner as the law requires.

How long we keep it

  • Enquiries that don’t lead to training: kept for up to 2 years, then deleted.
  • Client records: kept for 7 years after your last session to meet insurance, tax and professional requirements, then securely deleted.
  • Website analytics data: Google Analytics keeps it for up to 14 months.

Your rights

You can ask us to:

  • Show you the personal information we hold about you and how we’ve used it.
  • Correct information that is wrong or incomplete.
  • Stop sending you marketing messages.
  • Delete information we no longer need to keep.

Clients under 18

We train clients under 18. For a client under 18:

  • A parent or guardian must consent before we collect personal or health information.
  • The parent or guardian usually fills in the consultation form and intake documents, and signs on the client’s behalf.
  • The parent or guardian can ask to see or correct the client’s information.
  • We use a minor’s information only to deliver their training, and never for advertising.

Our ads are aimed at adults. We do not knowingly target ads at anyone under 18.

Changes to this policy

We may update this policy. The effective date at the top shows when it last changed. If we make a significant change, we will post a notice on our website.
